Description

In this video I’ll show you how to send invitations using Apple Invites, whether you’re adding specific contacts or sharing a general event link. You’ll also learn how to approve guests, manage RSVPs, and even allow attendees to bring extra guests. This is a great way to ensure your event stays organised while making it easy for people to join!

Transcript

In the last video, we created our event invitation using the Apple Invites app, and now it’s time to decide who we’re going to invite. There are a couple of different ways we can choose who to invite, but essentially, it boils down to a choice of two main options. Do we want to pick specific contacts individually, or do we want to invite a large group of people, perhaps by copying a more general link?

Let’s look at how we invite specific contacts first, as that’s likely the way most people will use this app when they’re creating their events.

Now that I’ve created my event, I can tap Next at the top to bring up the invitation screen. Straight away, you’ll see the two options we just talked about. I’m going to select Choose a Guest underneath Invite Individuals, and from here, I can simply search my contact library for anyone I want to invite.

I’ll start by inviting my wife, Sapphy, and when I’ve found her contact, I have the option to send the invite by message, email, or by copying a link to send in a different app, perhaps like WhatsApp. I’ll send it as an iMessage—and it’s really as easy as that! She’s been invited.

Next, let’s look at creating a more general event link.

To do this, I’m going to first turn on the “Approved Guests” switch, because that way, I can decide who I want to allow once my invite goes live. This is handy in case the link finds its way to someone I didn’t actually want to invite—they won’t see any event specifics, like location, until after I’ve approved them.

I can then simply send my link using any of the four options, including:
• Sending it to a group chat in Messages
• Sending it through email
• Copying the link
• Using the built-in Share Sheet to send it via any other app I use

I’m going to tap Copy Link here so I can share it later on.

Now that I’ve decided who to invite, I can fine-tune some of the details of this party, including allowing my guests to bring extra people. I’m going to tap on the Event Settings button in the top-right corner of the screen, and I can now allow my invited guests to bring additional people with them if they want to.

I can simply choose the maximum number of extra guests they can bring—hopefully to stop my gathering from getting out of hand!

On this screen, I can also add a description to my event image, which is really useful for visually impaired guests who might be using their iPhone’s built-in screen reader to learn about the event. Adding a short description here ensures they can have the full invitation experience too.

When that’s all sorted, I can press Done to exit that screen.

Oh, would you look at that—Sapphy has RSVP’d already! And she’s decided to bring our two cats, Polly and Pudding, along too. I’m not quite sure what the plus-one feature is meant to be for, but I’ll allow it for now!

Now, I can tap onto the New Attendees section to see who else has RSVP’d, and from here, I can also see their email addresses by tapping on the individual person—handy for getting in touch if I need to.

But you might be thinking… how did Sapphy RSVP? Well, jump to the next video in this playlist, and I’ll show you how this looks from the invitee’s point of view!
